Email Migration Services Dubai Move Mail Without Downtime
Email migrations fail at the cutover, not the copy. Moving the data is routine; what catches people out is a mail loop, a forgotten shared mailbox, or a DNS change made at the wrong hour. We plan the cutover properly and keep the old system available until you are certain it worked.

Where migrations actually fail
Not the copy. The cutover.
Moving mailbox data is routine and rarely the problem. What catches businesses out is the switch: a mail loop between old and new systems, a shared mailbox nobody listed that half the company relied on, a distribution list that silently stopped delivering, or a DNS change made at an hour that put the propagation window across a working morning.
Every one of those is preventable with planning, and survivable if the old system stays available. We keep it running until you are certain the new one worked, rather than decommissioning on the day.
Available until you are certain, rather than decommissioned on cutover day.
The ones nobody remembers are exactly the ones that break the first morning.
Propagation planned around your working hours, not started at 9am Monday.
Loops and delivery failures caught before staff find them.

Migration Types and Which Applies to You
The route depends on where you are coming from and how much history you need. Picking the wrong one usually shows up as a very long cutover weekend.
- Cutover migration: everything moves at once. Best for smaller businesses and the simplest to reason about
- Staged migration: users move in batches while both systems run. Suits larger estates that cannot take a single switch
- Hybrid: on-premise Exchange and cloud coexist for a period, used where a phased move is unavoidable
- IMAP migration: the fallback from cPanel, Zimbra or other hosts. Moves mail but not calendars or contacts, which have to be handled separately
Preserving Mail, Calendars and Contacts
What clients care about is that nothing is missing on Monday. These are the things that get lost when a migration is rushed.
- Folder structure, read and unread state, and flags carried across rather than flattened
- Calendars including recurring meetings and room bookings, which IMAP migrations do not move
- Contacts and distribution lists, mapped deliberately to their new equivalents
- Shared mailboxes, aliases and forwarding rules, which are the most commonly forgotten items
- Mailbox size limits checked in advance, so an oversized mailbox is handled before it fails mid-migration
Cutover Planning and DNS
This is the part that needs a plan rather than confidence. Everything else is recoverable; a bad cutover is visible to your clients.
- Historic mail pre-synced so the cutover is a short final delta, not a full copy
- TTL on MX records lowered days ahead, so the change propagates in minutes rather than hours
- SPF, DKIM and DMARC configured before cutover, so mail does not start landing in spam
- Old mailboxes kept live and receiving for a period, so nothing is lost while DNS propagates
- A written rollback plan, agreed before we start
What Users Experience on the Day
Migrations are judged by staff, not by the console. Managing that experience is half the work.
- Clear instructions sent in advance: what changes, when, and what to do if something looks wrong
- Desktop and mobile profiles reconfigured, with someone available while people reconnect
- A short window where mail may arrive in both places, explained beforehand rather than discovered
- A named contact on cutover day instead of a ticket queue
Why Azizi
Why Azizi Technologies for email migration
We treat the cutover as the project. The copy is the easy part.
Rollback planned before we start
The old system stays available and reachable until you confirm everything is right. Nobody should have to hope a migration worked.
Shared mailboxes and aliases mapped first
These are what get missed. We inventory them at the audit stage rather than discovering them from a complaint.
Deliverability handled, not assumed
SPF, DKIM and DMARC are configured before cutover, so your mail keeps reaching inboxes on day one.

Our process
How we get started
Sequenced, scoped and shipped. Every phase has a deliverable you can hold us to.
- 01
Audit the current setup
Mailbox count and sizes, shared mailboxes, aliases, forwarding, calendars and where DNS is actually hosted.
- 02
Choose the migration path
Cutover, staged, hybrid or IMAP, based on your estate rather than habit. This decision sets the whole timeline.
- 03
Pre-sync the data
Historic mail copied to the new platform while the old one keeps running. No downtime, no user impact.
- 04
Cutover out of hours
Final delta sync, MX change, mail flow verified end to end before anyone starts work.
Vendor neutral
Platforms We Support
Dubai businesses run mixed estates, so vendor loyalty is not useful here. These are the platforms we deploy and support day to day across both Dubai workshops.
- Microsoft 365 and AzureTenant administration, Intune device enrolment, Entra ID and conditional access, handled by Microsoft-certified engineers.
- Apple macOS fleetsThe default for creative and production teams. Managed alongside Windows under one contract.
- Cisco and ArubaSwitching, routing and enterprise WiFi for offices that outgrew consumer kit.
- Ubiquiti UniFiOur most common deployment for agency-sized offices. No per-AP licence and a strong controller.
- Sophos and FortinetFirewalls, EDR and MDR for teams that need security written into the AMC rather than bolted on.
- Synology and QNAPShared NAS over 10 GbE for editorial libraries, with backup that covers media rather than just documents.
