Both platforms are good and they suit different businesses. Workspace tends to fit companies that live in the browser, collaborate heavily in documents and value simplicity; Microsoft 365 tends to fit those with heavy Excel use, desktop application dependencies or existing Windows infrastructure. Neither answer is universal, and we have no margin reason to prefer one.

Whichever you land on, the setup detail that matters most is ownership. Files created in a personal drive belong to that person's account, and when they leave, that becomes a real problem. Shared drives put the data in the company's hands from the start.

Workspace or Microsoft 365, Honestly

These are genuinely different products and the right answer depends on how your business works, not on which is newer.

  • Workspace wins on real-time collaboration, simplicity, and admin overhead. Small teams get running faster
  • Microsoft 365 wins where Excel is doing heavy lifting, where desktop Office is non-negotiable, or where you need Intune and Entra ID in the same tenant
  • Mixed environments are common and workable, but paying for both suites per user is usually waste
  • If your clients send you complex Excel models, Workspace will frustrate you. If they do not, it rarely comes up

Migrating From Your Current Mail

Migration is where Workspace projects go wrong, and it is almost always the cutover rather than the copy that causes pain.

  • Mail, calendars and contacts migrated with folder structure and read state preserved
  • Historic mail copied before cutover so users are not waiting on a sync when they arrive on Monday
  • MX record change planned around your business hours, with the old mailbox kept live for a period
  • Shared mailboxes, aliases, distribution groups and forwarding rules mapped deliberately rather than discovered afterwards

Admin Console and Security Baseline

A default Workspace tenant is not a secure one. These are the settings we configure on every deployment before handing it over.

Office 45, Concord Tower

Our main workshop is Office 45 on the 10th floor of Concord Tower in Dubai Media City, with a second Azizi Technologies office at the IT Center Building in Bur Dubai. The nearest metro to Concord Tower is Dubai Internet City, and there is visitor parking (first 15 minutes free, then paid) if you drive.

No appointment is needed during workshop hours, Mon-Sat 9AM-7PM, Fri break 12-2PM · Sun closed. Remote support runs from both offices, and on-site visits are scheduled from whichever is closer to you.

Where we work on site

Dubai Media City, Internet City, Knowledge Park, Barsha Heights, Bur Dubai, Business Bay, JLT and the wider city from the two offices, with scheduled visits beyond Dubai.

Should we use Google Workspace or Microsoft 365?
It depends on your work. Workspace is simpler and better at real-time collaboration, so small and mid-size teams get productive quickly. Microsoft 365 is stronger where desktop Excel matters, or where you want Intune and Entra ID in the same tenant. We assess how you actually work before recommending either.
How much email downtime will there be?
Very little. Historic mail is copied to Workspace while your current system keeps running, so the only real cutover is the MX record change, which we schedule outside business hours. Users may see a short window where new mail arrives in one place, and we keep the old mailbox live throughout.
Do we keep our existing domain and addresses?
Yes. Your domain and every address move across unchanged. We verify domain ownership, map all existing aliases, distribution groups and shared mailboxes, and set up SPF, DKIM and DMARC properly so your mail keeps landing in inboxes rather than spam folders.
Can we manage devices with Google Workspace?
To a point. Workspace includes basic mobile management for phones and tablets, which is enough for many small businesses. For proper endpoint management across Windows and Mac laptops, most Dubai clients pair it with a dedicated tool. We will tell you whether the built-in features are sufficient for your fleet.
What happens to files when someone leaves?
If company files live in shared drives, nothing happens: the data belongs to the organisation and stays put. If they live in personal My Drive, ownership has to be transferred before the account is suspended. This is exactly why we set up shared drives at deployment rather than later.
Can we get our data out if we leave Google?
Yes. Google Takeout and the admin export tools let you extract mail, files and calendars in standard formats. We confirm the export path works during setup rather than assuming it, because the time to discover an export problem is not the week you have decided to switch.
